Working in Offline Mode (Manager Guide)

When your site goes into Offline Mode, Tabit still allows core operations to continue. However, managers should be aware of the limitations and how orders and payments are handled during this time.

What Still Works

While offline, the following functions remain available:

  • Taking Orders – orders are stored directly on the PAD they’re taken on.

  • Printing – checks and kitchen tickets can still be printed.

  • Payments – credit card transactions trigger the Offline Payment Flow and can still be processed.

What Doesn’t Work

The following features are unavailable in Offline Mode:

  • Tabit Guest

  • Tabit Kitchen (KDS)

  • Tabit Order and 3rd-party orders

  • Gift Cards

  • Tabit Feedback

  • In-Room Dining

  • Tabit Shift (tips will not sync if the outage lasts an extended time)

Additionally, most Operations screen functions will be limited.

Key Considerations for Managers

  1. Order Storage & Access

    • Orders are stored only on the PAD where they were created.

    • PADs do not communicate with each other, so staff cannot view or manage orders taken on another device.

    • If a PAD goes down, orders on it cannot be recovered until the device reconnects.

  2. Payments

    • Only certain payment types are supported.

    • Credit card payments will automatically follow the Offline Payment Flow.

    • Ensure staff know how to complete these transactions and reconcile once back online.

  3. Redemptions & Integrations

    • Gift cards cannot be redeemed while offline.

    • Reservations and kitchen tickets must be managed manually.

    • Managers should pause gift card use and any 3rd-party ordering until connectivity returns.

  4. Extended Offline Periods

    • If offline for a long time, tip information will not sync with Tabit Shift.

    • Managers may need to track tips manually.

    • Consider pausing promotions or non-essential functions to avoid confusion.

Working with Ingenico Offline Payments Mode

When Ingenico or its supported processors go offline, Tabit automatically enters Ingenico Offline Mode so restaurants can keep accepting credit card payments. These transactions are stored locally and processed once connectivity is restored.

What Managers Should Know

  • Limitations:

    • Pre-Auth and Incremental Pre-Auth are not available.

    • Large transactions carry risk since cards aren’t fully verified offline.

  • Customer Details: Servers must enter the customer’s phone number and name during payment. This ensures the customer can be contacted if the transaction later fails.

  • Tips Handling:

    • All tips are handled via Client Tip flow, not Tip Adjust.

    • Tips on payments taken before going offline cannot be settled until back online.

  • Order Status:

    • Payments taken in Offline Mode move to Suspended Orders (Operations tab) until the site reconnects.

    • Servers will see prompts to close and suspend the order after printing.

Manager Action Points

  • ✅ Remind staff to always capture customer details for offline payments.

  • ✅ Monitor Suspended Orders and reconcile once the site is back online.

  • ✅ Be cautious with high-value transactions while offline.

  • ✅ Track tips carefully until the system comes back online.
